Track Medication Stock by House or Custom Repository

You can now track medication stock separately for each boarding house, or set up shared locations — like a Health Centre — that any student can draw from. Turn on house tracking, custom locations, or both, and stock updates automatically every time medication is given.

What's New

Turn on stock tracking for boarding houses, custom locations, or both — whichever mix fits your school. Add as many custom locations as you like, each with its own name and its own running total. The Inventory page shows stock broken down by house and location, plus a Total School Stock figure, with clear status flags for Available, Low stock, and Out of stock. Every stock change is logged with the student, staff member, date and time, and exact source, so you can search and filter the full history whenever you need it.

Why It Matters

House stock only ever goes to students who live there, and shared locations stay open to everyone else — so medication always comes from the right place, without a separate spreadsheet or paper log to keep straight. If a location's running low, you'll see it flagged before it becomes a problem. And when someone needs to know who gave what to whom and when, the full history's right there.

Next Steps

To set up stock tracking:

  1. Go to Medication Settings > Stock Tracking

  2. Choose House, Custom, or both — for custom locations, give each one a name

  3. Check the preview, then save

To manage stock day to day:

  1. Open the Inventory page to see stock by house and location, and your Total School Stock

  2. Add stock as supplies come in, and watch for Low stock and Out of stock flags

  3. Open a medication's history to see exactly what was given, by whom, and when
