Overview:

Checking students in and out just got a lot faster. General Check-In/Out checkpoints (Day School) now support Scanner verification, so students simply scan their ID card or pass at the kiosk instead of searching for their name. You can use a dedicated scanner connected to your iPad or the iPad's built-in camera, whichever suits your setup.

We've also extended Automated Attendance to read barcodes, so schools with barcoded student ID cards can use them for attendance check-in with no extra setup.

What's new

1. Scanner check-in for General Check-In/Out

When setting up a Day School checkpoint, you'll now see a Scanner option alongside Pin Code, with two scanner sources to choose from:

  • External scanner: for RFID card readers and barcode scanners connected to your iPad (USB or Bluetooth). Students tap their RFID card or scan their ID at the reader. Best for high-traffic entrances where speed matters most.

  • Device camera: no extra hardware needed. The kiosk uses the iPad's front camera to read QR codes and barcodes. Students just hold their student ID card or pass up to the camera.
    2. Barcode support for Automated Attendance

Automated Attendance kiosks previously scanned QR codes only. The camera now also reads all common barcode formats (Code 128, Code 39, Code 93, EAN, UPC, ITF, Codabar), so if your student ID cards have a barcode on them, students can check in with the card they already carry. The kiosk prompt now reads "Scan QR Code or Barcode To Check In."

How it works

  1. A student walks up to the kiosk and scans, by tapping their RFID card on the reader, scanning their ID barcode, or holding their card or pass up to the camera.

  2. Orah instantly matches the scan to the student and records their check-in or check-out.

  3. The kiosk confirms with a success sound and a green flash showing the student's name, or an error tone with "Student not recognised" if there's no match, so issues are caught on the spot.
    There's a short pause between scans to prevent accidental double check-ins, and existing External scanner (RFID) checkpoints keep working exactly as before, with no reconfiguration needed.

Instructions:

General Check-In/Out (Scanner):

  1. In Orah, go to School Management → Manage Checkpoints and create or edit a checkpoint with the Day School (General Check-In/Out) mode.

  2. Under student verification, select Scanner.

  3. Choose your Scanner source: External scanner or Device camera.

  4. Choose which identifier should be used to verify students: Orah Reference ID, SIS ID, or Card UID (Card UID is typical for RFID cards; Reference ID or SIS ID for QR codes and barcodes).

  5. Save, then open the checkpoint in the Orah Checkpoint app on your iPad. For the device camera, make sure the app has camera permission; for external scanners, connect your reader to the iPad and you're ready to go.
    Automated Attendance (barcodes):

Nothing to configure. If your Automated Attendance checkpoint uses camera scanning, barcodes now work automatically. Just make sure the barcode on your student ID cards encodes the same identifier as your QR code settings (Orah Reference ID or SIS ID).

Availability: Make sure your iPads are running the latest version of the Orah Checkpoint app.

Every attendance reason now carries two Student Information System codes — one for a late arrival, one for a full absence. When a pass overlaps a class, Orah works out how much of the class was missed and sends the matching code on its own.

What's New

Each reason in Attendance Settings now has a Late SIS Reason and an Absent SIS Reason. Orah compares the pass against the class and your threshold rules: miss part of the class and the late code goes across, miss the whole thing and the absent code does. The Reasons tab is reorganised too — Setup & Mapping, Pass Assignments and Roll Code Assignments each get their own space, and reasons sit in Late, Absent and Other groups you can drag between.

Why It Matters

A student who steps out for ten minutes of a doctor's appointment and a student who misses the whole period are two different records — and now your SIS sees them that way. Nobody has to pick the right code when the pass is created, or tidy it up afterwards. Your attendance reporting and compliance figures line up with what actually happened in the classroom.

  2. Open Setup & Mapping to see the Late and Absent SIS columns

  3. Review each reason — both columns start with your existing code, so update at least one per reason

  4. Choose from your SIS-sourced reasons in each column, then save

The Snapshot

Doses can now be entered in half steps — 0.5, 1.5, 2.5. A half tablet is recorded as exactly that, from the moment you set the medication up to the moment you give it.

What's New

Half-step doses work everywhere you handle a dose: in the medication catalogue, when adding and prescribing a student's medication, and when administering from the dispensary — both over-the-counter and prescription-only items. Type 0.5 for a half tablet or 1.5 for one and a half, and that exact amount carries through to the administration record.

Why It Matters

Half doses come up constantly — younger students, tapering, medications that simply come in one strength. Now a single prescription covers the whole regimen, and the student's medication history shows the precise amount given rather than a rounded one. Your dispensary counts stay accurate too, because what you record is what came out of the cupboard.

  3. Enter the dose in half steps — type 0.5 for a half tablet

  4. Save — staff will see the same amount when they administer it from the dispensary

The Snapshot

Every event now keeps a record of what changed, when, and who changed it. Open the new Changelog tab in any event to see the full history at a glance.

What's New

The Changelog tab sits alongside Students, Event Details, Pass Details, and Past Roll Checks in the event window. It lists each change in plain language — a submission time moved, a student added to the invite list or waitlist, a status switched to not attending, or a roll taken — with the date and the name of the staff member behind it. Automated changes, like a student moving off the waitlist when a spot opens up, are recorded too and show as "System". Entries appear newest first, and the log is read-only, so the record always stays intact.

Why It Matters

When someone asks why a student came off an event, or who moved the submission deadline, the answer is right there in the event. No digging through emails, no guesswork about who did what. It's a clean audit trail for every event you run — handy for handovers between staff, and for the duty-of-care moments where a clear record matters most.

You can now export event details and attendee lists straight from any event on Staff Web Desktop. Download a spreadsheet with everything you need — names, houses, year levels, contact details, and attendance status — ready to share with coaches, travel offices, and leadership in seconds.

What's New

An export button now appears in the Students tab of any event, whether it's upcoming, in progress, or already completed. The export is filter-aware: if you've filtered by attendance status or searched for specific students, the downloaded file matches exactly what's on your screen — right down to the sort order. Each export includes standard student details, any custom profile fields your school has configured, and event-specific sign-up responses. Files are named automatically using the event name and date, so they're easy to find and share.

Why It Matters

Event coordination rarely stays inside Orah — coaches need lists, travel offices need contact details, and leadership needs a snapshot they can forward or print. This export puts that information in a shareable format instantly, with no manual copying or reformatting. And because the export reflects your active filters, you get exactly the list you need — nothing more, nothing less.

You can now decide exactly when an overlapping pass makes a student late or absent from class. Set your own thresholds, apply them by year level, and use a live preview to see the result before you save.

What's New

A new Attendance Policy tab brings your class attendance rules together in one place. Set a late threshold in minutes and an absent threshold in either minutes or a percentage of class time missed — or switch the late threshold off entirely so students are only ever marked present or absent. Save different rules per year level, with a fallback for students who don't have one. An interactive preview lets you drag a pass across the start, middle, or end of a class and see exactly which status comes out the other side. Attendance records now spell out why a student was marked late or absent, and you can map late and absent to different reasons when they flow through to your student information system.

Why It Matters

Every school draws the line differently — five minutes late in Year 12 might mean something else entirely in Kindergarten. Now that line is yours to set, and it applies automatically every time a pass overlaps a class, so teachers aren't guessing or correcting records by hand. When a student or family asks why a record says what it says, the reasoning is right there on the record. And because late and absent can carry different reasons, what lands in your student information system reflects what actually happened.

You can now see a student's full class schedule, passes, and attendance right on their profile. Open a class or a pass to view or update it, or bulk-change attendance across several classes at once, all without leaving the page. It's the same schedule view from Daily Reconciliation, now built into every student's profile.

What's New

Every student profile now includes a Schedule tab that opens to today by default, showing their classes for the day alongside any passes or events. Select a class to open its roll record directly, or open a pass to view or edit it, no need to jump to a different screen. You can also take bulk actions from here: select multiple classes and change their attendance status together in one move.

Why It Matters

When you're digging into one student's attendance, everything you need is right there - their class schedule, any pass or event that explains their status, and a way to fix it on the spot. That's especially useful in the moments that matter most: a parent calling to ask about their child, or a status that needs correcting before the day closes out. You don't need to remember which screen has the answer, it's on the profile you're already looking at.

Overview:

School administrators can now impersonate staff and students to see exactly what they see in Orah. When troubleshooting issues like a teacher unable to find their schedule or a student's dashboard displaying incorrectly, admins can click 'Impersonate' from any active user's profile in the admin console. This opens a new tab showing the user's exact view, with a persistent banner indicating the impersonation session. All actions taken during impersonation are fully logged with dual attribution showing both who performed the action and who they were acting as. This eliminates the need for back-and-forth communication with screenshots and descriptions, enabling faster resolution of time-sensitive user issues.

How it works

  1. In the admin console, go to Staff or Students and find the person.

  2. On their row, open the  menu. If their account is Active, Impersonate sits right at the top.

  3. Click it. A new tab opens with their view of Orah. An amber banner stays pinned to the very top, reading "Viewing as [Name]", so there's never any doubt about whose account you're in.

  4. Do what you need to. You can do anything they can, whether that's marking a roll, approving a pass, or checking a schedule.

  5. Click Exit Impersonation in the banner when you're done.

Good to know

  • Every school admin has this already. There's nothing to enable and no new permission to configure.

  • Fully audited, with dual attribution. Session start and every change made while impersonating land in the Audit Report. The action shows against the user, tagged "(Impersonated by [admin])", so a proxy session never looks like the user acting on their own. The same appears in the account-level Recent Login Activity and on the person's own profile.

  • The person isn't interrupted. If they're logged in on their own device, their session keeps running alongside yours.

  • Proxy sessions have their own timeout cap, separate from the normal session timeout, as a safety net.
    Scope: staff and students only, and only Active accounts. Parents and contacts aren't covered, and you can't start a second impersonation from inside one.

Capacity-limited events can now have a waitlist. When an event fills up, students are queued instead of getting turned away — and the system automatically moves them in when a spot opens. Staff stay in control with a full view of who's next in line.

What's New

Inside any capacity-limited event, staff now have a dedicated Waitlist tab showing students in ranked order — their position, the time they were added, their name, and current status. Students from the invited list can be added directly or removed when school priorities need to be applied. When a confirmed enrolment is cancelled or removed, the student at the top of the waitlist is automatically promoted and confirmed — no action required from staff.

Students/Parents see an Event Full — Join Waitlist button in the Student/Families App whenever an event has reached capacity. After joining, they can check their position at any time and leave if plans change with a clear confirmation when they do.

Pass handling is fully built into the waitlist flow. Waitlisted passes are clearly labelled so staff can identify them at a glance from the Passes and Events page. Standard pass actions — approve, schedule, decline — remain available throughout the waitlist journey.

Why It Matters

Popular excursions and boarding activities no longer mean a hard stop for students who sign up late. Demand is handled fairly and automatically, with no manual tracking of who should be next. Staff can apply school priorities by reordering the waitlist at any time, and the system takes care of the rest — right down to notifying students the moment a spot opens.

  2. Select the Waitlist sub-tab

  3. View the ranked waitlist order

  4. Students are auto promoted when a position opens up
    For students/Parents — to join a waitlist:

  6. Request your pass as prompted

  7. Your position is shown on the event detail page — check back any time

  8. When a spot opens, you'll receive a notification confirming your enrolment
    Note: Only students who have been invited to an event can be added to its waitlist. Waitlisted passes appear with a waitlisted label in the Passes page — staff can approve, resubmit, or decline them at any stage.

The Snapshot

Staff can now take attendance for events and trips directly from the Staff Web Desktop and Mobile App. Open any event, start a roll check, and mark each student as Present, Late, or Absent — without touching academic class attendance records. Students confirmed present at the event are also automatically excused from any overlapping class roll, and you can review past roll checks directly from the event.

What's New

From the event detail page, tap "New Roll Check" to open the attendance view for all enrolled students. Every student starts as Unmarked — mark each one as Present, Late, or Absent as you go, and watch the live status counter update in real time. Use search and status filters to find specific students quickly. Save & Exit at any point to pause the roll and resume later, or submit when everyone's been accounted for.

Once a student is confirmed present at the event, they're automatically shown as Excused (Event Pass) on any overlapping class and absence notifications are suppressed for that roll period. All completed roll checks are also available under the Past Roll Checks tab in the event modal, with an attendance summary and a full detail view per roll.

Why It Matters

Events and trips often run at the same time as classes, and until now there was no clean way to track event attendance without creating confusion in the academic roll. This changes that event attendance is entirely separate from academic records, so marking a student absent at an event won't affect their class standing. For boarding schools running overnight trips, excursions, and group activities, you now have proper roll-check records that are accurate, audit-ready, and won't create noise in academic reporting. Staff also no longer need to manually reconcile absence flags on event days confirmed event attendees are automatically excused from overlapping rolls.

Instructions:

To take attendance at an event:

  1. Open the event from the Events page

  2. Tap "New Roll Check"

  3. Mark each student as Present, Late, or Absent (all students start as Unmarked)

  4. Use search or the status filter to find specific students

  5. Tap Exit → "Save & Exit" to pause and resume later

  6. When done, submit the roll to complete it
    To view past roll checks:

  7. Open the event and tap the Past Roll Checks tab

  8. Each row shows the date, time, and attendance summary — tap View for the full detail

  9. Search by student name or sort the list by first name
    Note: Students confirmed present at the event are automatically excused from any overlapping roll. Students registered but not yet confirmed will show their normal roll status.
