Improve audit logs and student messaging for deleted passes

When investigating a missing student pass, administrators need a quicker and clearer way to determine what happened.

Currently, deleted passes can be identified through the Audit Log, but the workflow could be improved to make investigations easier and provide clearer feedback to students.

Suggested improvements:

  • Include the student’s name in Audit Log entries and allow searching by student name.

  • Allow student searches to surface related pass activity, including deleted passes.

  • Use customer-facing terminology such as “Pass” instead of “Leave Record” where appropriate.

  • When a student opens a deleted pass, display a clear message (for example, “This pass has been deleted and is no longer available.”) instead of a generic error.

  • Provide a simple way for users to report unexpected errors directly from the app.

These changes would make it much easier for schools to investigate pass history and reduce confusion for both staff and students.

Who is this feature for?
Administrators, Attendance Staff
Platform
Mobile Phone, Desktop
What problem would this new feature help your school solve?
When a pass disappears, staff need to quickly determine whether it was deleted, who deleted it, and explain the outcome to students. Clearer audit information and more informative student messaging would reduce investigation time.
How often does this problem happen?
Unpredictable (e.g. Emergency)
Describe the impact on your school if this problem remains unsolved?
Staff spend additional time investigating missing passes, and students receive generic error messages that provide no explanation of what happened. This can create confusion and reduce confidence in the system during time-sensitive situations.
