Add a Waitlist to Any Capacity Limited Event

Capacity-limited events can now have a waitlist. When an event fills up, students are queued instead of getting turned away — and the system automatically moves them in when a spot opens. Staff stay in control with a full view of who's next in line.

What's New

Inside any capacity-limited event, staff now have a dedicated Waitlist tab showing students in ranked order — their position, the time they were added, their name, and current status. Students from the invited list can be added directly or removed when school priorities need to be applied. When a confirmed enrolment is cancelled or removed, the student at the top of the waitlist is automatically promoted and confirmed — no action required from staff.

Students/Parents see an Event Full — Join Waitlist button in the Student/Families App whenever an event has reached capacity. After joining, they can check their position at any time and leave if plans change with a clear confirmation when they do.

Pass handling is fully built into the waitlist flow. Waitlisted passes are clearly labelled so staff can identify them at a glance from the Passes and Events page. Standard pass actions — approve, schedule, decline — remain available throughout the waitlist journey.

Why It Matters

Popular excursions and boarding activities no longer mean a hard stop for students who sign up late. Demand is handled fairly and automatically, with no manual tracking of who should be next. Staff can apply school priorities by reordering the waitlist at any time, and the system takes care of the rest — right down to notifying students the moment a spot opens.

Next Steps

For staff — to manage the waitlist:

  1. Open the event and go to the Students tab

  2. Select the Waitlist sub-tab

  3. View the ranked waitlist order

  4. Students are auto promoted when a position opens up
    For students/Parents — to join a waitlist:

  5. Open the event in the Student App — if it's full, tap Event Full — Join Waitlist

  6. Request your pass as prompted

  7. Your position is shown on the event detail page — check back any time

  8. When a spot opens, you'll receive a notification confirming your enrolment
    Note: Only students who have been invited to an event can be added to its waitlist. Waitlisted passes appear with a waitlisted label in the Passes page — staff can approve, resubmit, or decline them at any stage.
