Overview:

The Medications Module is a purpose-built solution to centralize and streamline all aspects of medication management. It is accessible via the Student Care section in the sidebar and provides a unified dashboard for staff to manage prescriptions, inventory, and administration records.

The module is organized into four core areas:

• Medication Catalog — Build and maintain a school-wide library of medications (OTC and prescription). Staff can create, edit, duplicate, and delete entries, set dose restrictions, and search, sort, and filter the catalog.

• Medication Inventory — Track stock levels per school house in real time. Inventory is automatically updated with each administration, providing audit-ready records and visibility into stock status across locations.

• Dispensary — Log and manage medication administrations for both OTC and prescription-only medications (POM). Includes dose restriction warnings, full administration history, and the ability to edit or undo records.

• Prescriptions — Create and manage student prescriptions with flexible dosage schedules. Prescriptions can be paused, resumed, or deactivated, and are fully integrated with each student's medical profile (including allergies and condition history).

Medication Catalog and Settings

• From the settings area users can build a catalog of medicines.

• When adding a medicine, users can define the type—either over-the-counter (OTC) or prescribed—as well as strength, units, descriptions, instructions, and specific dosage restrictions.

• The system includes built-in validation checks, search capabilities, and sorting options.

• Users can edit, duplicate, or delete existing medication entries, with confirmation prompts provided for deletions.

Inventory Management

• The inventory tab exclusively displays OTC medicines.

• Users can monitor total stock levels across different houses and view associated history.

• It is possible to define low-stock thresholds to receive alerts when supplies are insufficient.

• Detailed filters are available, allowing users to narrow results by time range, house, or specific stock status.

Dispensary Module

• The dispensary view provides an overview of administration records, including the student's name, medicine dosage, and the specific time of administration.

• Administrations can be managed by modifying details, adding notes, or marking entries as "not administered" with a documented reason.

• If an administration does not occur, users have the option to return the dosage to the inventory, which updates the stock history accordingly.

Prescription Management

• The prescription module organizes data into three distinct views: active, paused, and deactivated.

• When creating a prescription, users can specify the doctor, define the start and end dates (or set it as ongoing), and choose dosage schedules such as daily, custom, or "as needed" (PRN).

• The system allows for assigning staff members to the prescription and setting low-stock thresholds for specific students.

• An administration overdue section highlights tasks that require immediate attention.

• Prescriptions can be paused, resumed, or deactivated, though manual deactivation is an irreversible process.

• Access to specific prescription tasks is limited based on authorization, ensuring only assigned staff or authorized administrators perform certain actions.

Permissions and Student Profiles

• Within the admin console, specific role-based permissions can be configured for catalog management, inventory, administration, and prescriptions.
